Instruction for Presenters and Chairpersons

Oral Presenters

Presentation time for oral presentations:

Contributed paper presenters 20 minutes
(15 minutes for presentation and 5 minutes for discussion)
Invited speakers 30 minutes
(25 minutes for presentation and 5 minutes for discussion)

The oral presentation room (3rd Floor, International Conference Room (Room 301)) will have an LCD projector, and a conference PC running Windows 7, with PowerPoint and Adobe Acrobat Reader installed. In order to reduce the time between presenters, we strongly encourage the presenters to use the conference PC.

1. Before your session…

Presenters can copy their presentation file in Microsoft PowerPoint or Adobe Acrobat format on the conference PC prior to their session (e.g. during coffee break) with a USB memory stick and can briefly check it beforehand. Traditional overhead projectors will "NOT" be available. Presenters should arrive at their session at least 20 minutes earlier than the start time of the session, introduce themselves and hand in a brief biography to the session chair before the session starts. Presenters are requested to verify that the presentation displays correctly. This will help ensure that your presentation will proceed smoothly.

Please be sure to be seated at the presenters' seats located at the side of the stage 5 minutes prior to the start of the session.

There is no rehearsal room reserved. Please make sure in advance that your file works correctly in the oral presentation room.

2. During your session…

Each presentation has been allocated a time slot of either 30 minutes (for Invited speakers), or 20 minutes (for Contributed paper presenters), including questions and handovers.
This means that your speech must be either about 25 minutes long (for Invited speakers) or 15 minutes long (for Contributed paper presenters) in order to allow questions and discussion after the presentation. Please do not forget that some time is needed also for walking to/from the podium, setting up the microphone, and the introduction of the speaker by the session chair.

The session chairs have been instructed to terminate overrunning presentations in order to ensure that every presenter has the same amount of time. If you exceed your time, you risk missing the chance for questions or even completing your presentation. So, please practice the timing in advance!

Poster Presenters

The Poster Session will be held on Wednesday, May 7, 14:40-16:20 at 3F, Reception Hall.
Each poster presenter will be provided a poster panel of dimensions 210cm high x 90cm wide. When preparing your poster, please note that the poster numbers will be shown on a 20cm x 20cm card which will be posted at a left upper side of the panel. Poster panels will be available for setting during 8:15-14:00 on May 7. All presenters are kindly asked to complete their preparations during this period.

Poster presenters are expected to have their posters displayed by the beginning of the session, and be available to discuss their poster for the duration of the session.
If you want to keep your poster, you must take it with you at the end of the reception on May 7. You cannot take the poster panels.
Any posters remaining after the end of the reception will be discarded.

Chairpersons

Each presentation is assigned below time duration.

Contributed paper presenters 20 minutes
(15 minutes for presentation and 5 minutes for discussion)
Invited speakers 30 minutes
(25 minutes for presentation and 5 minutes for discussion)

All presenters are asked to meet with their chair 20 minutes prior to the start of their session.

1. Before your session…

Please arrive at the chairperson's desk at least 20 minutes before your session is scheduled to commence. Please check that presenters of the session are seated at the presenters' seats located at the side of the stage before the start of your session.
They have been requested to meet the chair during the break and to hand you a copy of their short biography for their pre-presentation introduction.

2. During your session…

Each presentation has been allocated a time slot of either 30 minutes (for Invited speakers) or 20 minutes (for Contributed paper presenters), including questions and handovers. Please terminate all overrunning presentations in order to ensure that every presenter has the same amount of time.
If a presentation is cancelled or the presenter does not show up, please take a 20-minute rest. Please do not move on to the next presentation.

For each day, the closing time is to be strictly adhered. Thank you very much for your kind cooperation in advance.
